The screen in Admin Mode is where administrators check attendance, clear absences, and make corrections. (The screen in Gradebook Mode is for teachers.) Main View
The main attendance screen shows which teachers have or have not taken roll for the selected date. (If you're in the other views below, click "Done" to return to the main view.)
Click any class to see and edit the roll sheet. Click any student to see their attendance records, or click the "Select Student" button to search by name, partial name, or ID. Click any attendance mark to switch between Present, Absent, and Tardy. Or click the legend on the right to select any attendance code. To change the student's attendance for all periods in the day, first click the date column, then check an attendance code in the legend. This is much faster than clicking each period one at a time.
The "Abs" and "Tar" columns show how many times the student was absent or tardy in each class. This is totaled for the whole grading period you have selected in the menu, which is not necessarily the same as how many weeks you have displayed on the screen. It includes both excused and unexcused absences. The Bulk Edit view is usually used to excuse a whole group of students. For example, to excuse all Marching Band students from 6th and 7th periods for a planned trip on Friday, click the "Bulk Edit" button, select the Marching Band class and the date, check the checkboxes for 6th and 7th periods, then click "Excused" in the legend. You may select a class (like Marching Band), a grade level (like all 12th graders), or a (like GATE students). To excuse any other group of students, you must select each student one at a time in Student View. (Tip: For this reason it's recommended that you define sports teams as classes without grades.)
Note: For secondary schools, on this screen you cannot enter roll for classes that have no period, so make sure class periods are set properly. For elementary schools, Daily attendance is supported (so periods are not required). The "Bulk Edit" button is not applicable for colleges (because it requires periods).
Click the "Audit Log" button to see a detailed history of all changes to attendance data, including who made changes at what time. You may view all students for one date, or one student for all dates (select "All Dates" at the bottom of the date menu). (But you cannot view all students for all dates at once because that could be hundreds of thousands of records!) Click the "Find Errors" button to list which teachers forgot to take roll on which dates. It also scans your data for common mistakes, like if a student has two attendance marks from different classes during the same period. (Conflicts like that usually happen when you change the periods after teachers have already started entering attendance.) Where applicable it offers you options to correct your data. In other cases may want to Print the webpage, then examine and manually correct the reported problems.

You may optionally let students and parents see their attendance records online. It lists every absence and tardy (everything but the default Present mark) for every class. See to take this offline. |
