Import Classes Index  

Admins can import courses, sections, and student schedules for the whole school or district. See Import Data for general data format requirements. This section describes the columns accepted to import class data:

School/Building Code — This code should match whatever you enter on the screen. If you haven't entered those codes yet, it will ask which code matches which school and save those codes during the import. You must have permission at each school. This column is optional; if omitted it assumes the school you currently have selected in the tab-bar.

Teacher — The name or district code for the teacher. If it's a code, it should match the code on the screen. If you haven't entered or imported those codes yet, it will ask which code matches which teacher and save those codes during the import. The teachers must already exist in the database. For new teachers you must Import Staff before you import classes.

If a class is team-taught by two or more teachers, you can import it for just one of the teachers, or you can import redundant copies of the class for each teacher. Either way, you must manually correct the schedule after you import the data. See Team Teaching for detailed instructions.

Subject/Course Title — The name of the course or subject, like "World History" or "Reading" (elementary schools require subjects to be specified). The limit is 50 characters, so they can be complete titles instead of abbreviations.

Period — The period/hour of the day. This must match the periods you have defined on the screen. If a section has multiple periods, like block periods, the periods must be comma-delimited, like "3,4". Period is optional and may not apply for elementary or college.

Course Code — The course number, like "BIO-101". This is optional.

Section Code — The section number, like "002". Do not include the Course Code in the same column. This is optional.

Credits/Units — How many credits the course is worth for GPA calculations and graduation requirements. If not specified it defaults to 1.

Room — Room number (12 characters max)

Student ID — To identify which student is in which class.



Examples

You can import courses, sections, and student schedules in a single file, like below. Notice each row represents one student (ID) in one class. (The order doesn't matter.)

When Done

Courses are imported into the database immediately. Go to the screen to view, edit, or delete them.

Sections & Schedules are not imported immediately. Instead they go into a Draft Schedule on the screen so you can review them and make manual corrections. Then you must click the Draft button to Publish the schedule to teachers' gradebooks.

Student data is imported immediately into the database, so any new students or changes to contact information are available immediately to everyone.

Re-Importing Data

It is okay to re-import data. This does not create duplicate courses, sections, or students.

If a Course already exists in the database, it does not change it. You must make changes manually on the screen.

Importing Sections & Schedules always creates a new Draft Schedule. You must make changes manually on the screen, or click the Drafts button to Delete the draft and re-import. Be sure to Delete any old drafts before your re-import to avoid confusion.

If a Student already exists in the database, it will merge their contact information, etc., but their scheduling information is in the Draft Schedule. See Import Students.

Undoing an Import

If you accidentally import bad data, you must go to different places to delete it:

Sections are on the screen as a Draft. Click the Draft button to delete it. If you had already published the draft, select any class and click "Delete Section" to Purge all unused sections.

Courses are on the screen. Click any course then click Delete to Purge all unused courses. (Do this after you delete the Draft Schedule, if any).

Students are on the screen. Click the "Delete/Withdraw" button to Purge any new students not yet scheduled in any classes (after you delete the Draft Schedule, if any).

For training, it's recommended to import only small sets of data so you can easily undo mistakes, then add more classes and more fields as you get more experienced.
